PRESENTER (ORAL & POSTER) INFORMATION

GENERAL:

The language of the Symposium is English. If a translator on the podium is requested by the presenter, an attempt will be made to provide this service. All associated costs will be the responsibility of the presenter. Advance notice of at least one month is required.

Submission of a paper for the Proceedings Volume is mandatory for both oral and poster presentations.

There will be both a book version and a CD-ROM version of the Proceedings Volume; however, they will not be available until approximately 6 weeks after the Symposium. While we can not promise the Proceedings volume until that time (due to staffing considerations), we hope to have staff available August 1, 2001 to produce it in time for distribution at the Symposium. Therefore, the August 1, 2001 deadline below remains firm.

DEADLINES:

March 1, 2001 - abstract due

  • The abstract must follow guidelines below and, if accepted, will be published on the Symposium web page and in the abstract booklet to be given to each attendee at the beginning of the Symposium.
April 2, 2001 - notifications of acceptance mailed out

August 1, 2001 - if your presentation is accepted, the following are ALL due:

  • paper for Proceedings Volume
  • registration
  • registration fee
  • speaker information sheet (for oral presentations only)
These MUST be received by AUGUST 1, 2001 for inclusion in the Proceedings Volume.

Please note: The above deadline remains firm, even though the Proceedings volume (CD and book) will not be available until 6 weeks after the Symposium. October 21, 2001 - poster set-up 7:00 pm - 9:00 pm

ADDITIONAL PRESENTER INFORMATION:

  • Letter of invitation will be sent ONLY if presenter requests it.
  • Each presenter is responsible for making his/her own hotel reservations directly with the hotel.
  • Each presenter is required to attend the Symposium.
  • Each presenter is required to prepay the full registration fee.

APPLICATION DIRECTIONS:

To apply for a presentation, you must include:

IDENTIFYING INFORMATION and
AN ABSTRACT

Identifying Information (may be email message, word processor or paper):

  • Title of Presentation
  • Primary Author's name/organization/address/phone/fax/email
  • Corresponding Author's name/organization/address/phone/fax/email
  • Presenting Author's name/organization/address/phone/fax/email (we suggest that the corresponding author and the presenting author be the same person, since we will send information about the presentation to the corresponding author)
  • Each Additional Author's name/organization/address/phone/fax/email
  • Type of Presentation preferred (oral or poster)
  • Recruited Presentations (if it was recruited): Name of person who recruited it and/or session for which it was recruited.

Abstract:

  • Acrobat .pdf PREFERRED (please do not activate security)
    • If Acrobat .pdf is not an option, Word or WordPerfect can be used.
    • If an electronic version of your abstract is not possible, you may submit a paper copy.
  • Formatting instructions
    • 8.5" x 11" for page size
      • WordPerfect: File / Page Setup / Size / Letter 8.5" x 11"
      • Word: File / Page Setup / Paper Size / Letter 8 ½ x 11 in
    • Margins - all margins on all pages 1 inch
    • Font - Helvetica
    • No page number
    • Title - 20 point bold
    • Authors - 14 point bold
      • primary author first
      • other authors
      • underline presenting author
      • use superscript numbers to identify organization/address
    • Organizations - 12 points
      • appropriate superscript number followed by name/address of organization
    • Keywords - 12 points
    • Abstract - 12 points
      • 250 words maximum
