Exhibitor Information

General Information

• Exhibits will be located in the the newly-renovated East Hall in Lexington Center's Heritage Hall. (Registration, breakfast, coffee breaks, posters, and the Monday evening reception are also in East Hall, making it a focal point of activity at the Symposium.)
• Heritage Hall is currently undergoing a complete renovation. By the opening of the IAUS, the exhibit areas and meeting space will be completely reconfigured. It will have new decor, amenities, and accessibility.
• Exhibits are open to viewing during all Symposium activities except the Tuesday evening reception. That reception will be held off-site at the Labrot and Graham Distillery (see Receptions).
• The exhibit area will be locked overnight. A security guard will be present at night. However, neither the Lexington Center Corporation nor the CAER will be held responsible for missing items.
• Exhibit and meeting spaces are conveniently located on one level.

Cost: US$650.00

  • 10 foot wide by 8 foot deep space (8' backdrop behind, 3' drapes on sides)
  • 6 foot draped table (skirted on 3 sides, vinyl top)
  • 2 chairs
  • inclusion in brochure, web page, CD, etc., if payment obligations are met.
• does not include:
• • electricity or other special needs
  • additional people to staff exhibit (these people must pay full registration fee)

Deadlines and Instructions:

March 3, 2003: application to exhibit due

• application form in .pdf (Acrobat)
• application form in .doc (MS Word)

April 1, 2003: notification of acceptance status

• release of liability form
• exhibitor registration form
• registration forms for any additional staff

May 1, 2003: if exhibit accepted, the following are due:

• release of liability form
• exhibitor registration form
• registration forms for any additional staff
• payment of exhibitor fee and registration fee(s) for additional staff

Payment methods accepted are:

• Check or money order payable to University of Kentucky.
• Visa, Mastercard, Discover, or American Express credit cards (We cannot accept other credit cards.)

Payment must be in U. S. Dollars.

August 1, 2003: Decorating Service
The contact information for Exhibitors who have paid will be given to LEXPO Exposition Services, which is the company with which we have contracted for decorating needs at the Symposium. LEXPO will send you an exhibitor services manual which contains all the information you will need to order services and supplies for the meeting.

October 19, 2003: set up 2:00 pm to 9:00 pm

October 22, 2003: take down noon to 5:00 pm

We suggest that, if you are shipping your exhibit, you ship it according to the shipping instructions which will be supplied to you by LEXPO.
