Proceedings Volume Paper Guidelines
(Oral & Poster Presentations)

To publish a paper in the Proceedings Volume, an oral or poster presentation must be made. If a presentation (oral or poster) is not made, the paper will be deleted from the Proceedings Volume.

All presentations, provided they are made, are expected to be represented by a paper in the Proceedings Volume. Papers may be supplemented by Power Point slides.

By September 24, 2003:

  1. Your paper (and Speaker Information Sheet if you are making an oral presentation) must be received at the CAER
  2. Your registration form and fee must be received at OISTL. NOTE: They must be received by September 2, 2003, to take advantage of the lower registration fee.
  3. Your Fuel manuscript is due at the CAER (optional).

Although there will only be a CD-ROM version of the Proceedings Volume, users will want to print some of the papers. Therefore, please format your paper using the following guidelines.

Software acceptable:

  1. Acrobat .pdf without security - please generate it using Acrobat 5 (or higher if higher is available)
  2. MS Word
  3. Corel WordPerfect

Accessibility: The reason for the directions with #1 above is that these directions make the document more accessible for people who are challenged by various problems such as blindness. The U. S. Congress has made it mandatory that all institutions receiving federal funds be in compliance with accessibility guidelines it has written. This includes any CD-ROMs or websites produced by these institutions.

Ash Library: You have an opportunity to have your paper also placed on the virtual Ash Library maintained here at the University of Kentucky Center for Applied Energy Research. You may view the Ash Library at http://www.flyash.info.

  • The papers at in the Ash Library are the same that are in the Proceedings Volumes from the various symposia included in the Library.
  • Permission is required from the author before the paper can be added to the Ash Library.
  • Authors retain copyright to the papers. Their appearance in the Ash Library constitutes a single use license.
  • Papers in the Ash Library are in Acrobat .pdf format with security. Altering or copying from the papers is prevented by that security. Papers can be printed, downloaded, and/or cited. If downloaded, the security restrictions go with the download, as they are a part of the file. (Please note that, while the technology is quite reliable, there is no security that can not be disengaged by a person with enough programming knowledge.)

If you would like to take advantage of this opportunity, please complete the Ash Library Permission Form and return it by mail or fax to Gretchen Tremoulet (see end of this page for address and fax number). We must have your signature, so please do not send an electronic copy.

Formatting instructions:

General

  • Page size - Please choose a standard U. S. or European page size, such as letter (8.5" x 11"), legal (8.5" x 14") or A4 (210mm x 297 mm).
    • WordPerfect: File / Page Setup / Size
    • Word: File / Page Setup / Paper Size
  • Margins - all margins on all pages 1 inch
  • Font - Helvetica, Arial, or Times New Roman preferred
  • Page numbers are fine if you like, but not mandatory.
  • Justification - left justified (flush left) - no right or full justification, please

If you are going to submit your paper in .pdf format, set Acrobat Distiller as your default printer BEFORE you open your document to distill it. Then look through your document to be sure the text flow is acceptable to you. (Text flow varies with different printers. When you open a document, the text flow will be for whatever printer you have selected as your default printer.)

Parts of Paper

  • Title - 20 point bold
  • Authors - 14 point bold
    • primary author first
    • other authors
  • use superscript numbers to identify organization/address
  • Organizations - 12 points - appropriate superscript number followed by name/address of organization
  • Keywords - 12 points
  • Body (text of paper) - 12 points
  • do not use lines, bars, etc., which are generated using "fill"
  • use colors instead of textures/patterns for delineation (as within bars or columns)
  • make sure "medium" is selected for the lines of the outside border of figures/graphs instead of "fine"
  • no page limit
  • Bibliography/References - 12 point

Acrobat 5 instructions:

  • Set Acrobat Distiller as your default printer, then open your document and check for text reflows.
  • Set Acrobat Distiller program for "Print Optimized"
  • Set Acrobat Distiller printer (in Printers Folder) set Conversion Settings to "Print"
  • If you like, you may fill in title, author, and keyword fields in Document Information. We will do this for you if you leave them blank. We will use the subject field for the name of the session.
  • DO NOT add security.
